This Privacy Policy explains how BetterCarte LLC, operating the BarBak service ("BarBak," "we," "us," or "our") collects, uses, discloses, and protects information when guests, venues, venue staff, administrators, or visitors use our websites, ordering pages, dashboards, QR-code ordering tools, tablet interfaces, pickup token systems, and related services.
BarBak provides mobile pickup ordering technology for bars, restaurants, and other on-premise venues. BarBak is a technology platform. The venue offering the menu is responsible for its own licensing, alcohol service, order fulfillment, pickup procedures, prices, taxes, staff decisions, guest handoff, and venue policies.
This Privacy Policy applies to BarBak's websites and services, including customer-facing ordering pages, venue-facing dashboards, staff tools, manager dashboards, internal admin tools, and related support channels.
1. Information We Collect
We collect information from guests, venue users, internal administrators, devices, browsers, payment processors, and venues.
1.1 Information Guests Provide
When a guest browses a venue, places an order, or contacts support, we may collect:
- Name or pickup name
- Phone number
- Email address
- Order details
- Cart contents
- Pickup location or pickup station
- Order notes or item modifiers
- Tip amount
- Payment status
- Order status
- Pickup token or pickup code
- Support messages
- Feedback or issue reports
Guests generally do not need to create an account to place an order.
1.2 Information Venue Users Provide
Venue users may include owners, managers, bartenders, staff members, and other authorized venue personnel.
When a venue user is created or uses BarBak, we may collect:
- Full name
- Email address
- Phone number
- Venue affiliation
- Role, such as owner, manager, or bartender
- Login method
- Dashboard activity
- Order fulfillment activity
- Token redemption activity
- Menu management activity
- Staff action history
- Support requests
Venue users may log in using passwordless authentication, including email-based or phone-based verification.
1.3 Information BarBak Internal Administrators Provide
Internal BarBak administrators may create and manage venues, venue users, menus, pickup stations, and platform settings.
We may collect:
- Name
- Email address
- Phone number
- Admin role
- Login activity
- Venue creation and editing activity
- User creation and editing activity
- Support and operational activity
1.4 Order and Operational Information
We collect information needed to operate the ordering and pickup flow, including:
- Venue name
- Venue ID
- Pickup station
- Menu items
- Modifiers
- Quantity
- Price snapshots
- Tax amounts
- Tip amounts
- Order totals
- Order status
- Payment status
- Visible pickup code
- Secure pickup token status
- Token redemption status
- Order timestamps
- Staff actions
- Cancellation or refund status
- Audit log events
1.5 Pickup Token Information
BarBak may generate a one-time pickup token for an order.
A pickup token may include:
- A visible pickup code, such as A23
- A secure QR or digital token
- A pickup station
- Order status
- Token status
- Expiration time
- Redemption time
The purpose of the token is to help the venue match the order to the guest at pickup.
1.6 Payment Information
Payments may be processed by a third-party payment processor.
BarBak does not intend to store full credit card numbers, full debit card numbers, or full payment credentials.
We may receive and store limited payment-related information, such as:
- Payment processor customer or transaction ID
- Payment status
- Amount paid
- Tip amount
- Refund status
- Dispute or chargeback status
- Last four digits or card brand, if provided by the payment processor
- Payment timestamps
1.7 Device, Browser, and Usage Information
When you use BarBak, we may automatically collect:
- IP address
- Device type
- Browser type
- Operating system
- Referring page
- Pages viewed
- Venue pages visited
- QR code source
- Approximate location based on IP address
- Log data

1.8 Location Information
BarBak may use location-related information to help guests find venues, display nearby venues, route orders to the correct venue, or improve search and discovery.
We may collect:
- City and state entered by the user
- Venue address
- Approximate location from IP address
- QR code location or pickup station source
Unless we expressly request it in the future, BarBak does not intend to collect precise GPS location from guests.
1.9 Age and ID-Related Information
BarBak may display age-related or venue policy messages, such as "21+ only," "valid ID may be required," or "on-premises pickup and consumption only."
In the current MVP, BarBak does not intend to store full ID scans, driver's license images, passport images, or full government identification documents.
If BarBak later adds ID scanning, age verification, or identity verification features, we will update this Privacy Policy before launching those features.
1.10 Communications
If you contact us or receive messages from us, we may collect:
- Email messages

- Support tickets
- Chat messages

- Delivery and engagement information, such as whether a message was delivered or opened
2. How We Use Information
We use information to provide, operate, maintain, secure, and improve BarBak.

- Allow BarBak administrators to create venues and venue users

- Troubleshoot technical issues
- Provide customer support
- Maintain audit logs
- Enforce our Terms of Service

- Develop new features
- Communicate service updates
- Comply with legal, tax, accounting, security, and payment obligations
3. How Pickup Tokens Work
BarBak uses pickup tokens to help venues match orders to guests.
A token may be shown to the guest after an order is placed or when the order is ready. The guest may show the token at pickup. Venue staff may redeem the token through the BarBak dashboard.
Once a token is redeemed, it should no longer be valid for pickup. Tokens may also expire, be cancelled, or be invalidated if an order is cancelled or refunded.
BarBak may store token status, redemption time, staff user, pickup station, and related audit data to support operational integrity.
4. How We Share Information
We may share information as described below.
4.1 With Venues
We share order and pickup information with the venue fulfilling the order.
This may include:
- Guest pickup name
- Order items
- Modifiers
- Notes
- Pickup station
- Payment status
- Tip amount
- Pickup code
- Token status
- Order status
- Support or issue details related to the order
Venues use this information to prepare, manage, and hand off orders.
4.2 With Venue Users
Venue owners, managers, bartenders, and authorized staff may access information based on their role. For example:
- Bartenders may see active order queues and pickup tokens.
- Managers may see menu, order, and operational settings.
- Owners may see venue-level reports and user access.
4.3 With Service Providers
We may share information with vendors and service providers who help us operate BarBak, such as:
- Hosting providers
- Database providers
- Authentication providers
- SMS providers
- Email providers
- Payment processors
- Analytics providers
- Error monitoring providers
- Customer support tools

These providers may process information only as needed to provide services to us or as otherwise permitted by their agreements with us.

We may send SMS messages, emails, or browser-based notifications for:

- Order confirmations
- Order status updates
- Pickup notifications

- Venue account administration

Message and data rates may apply for SMS messages.
Users may be able to opt out of non-essential messages. Some service-related messages may be necessary to use BarBak, such as login codes, order updates, security alerts, or account administration messages.
6. Cookies, Local Storage, and Similar Technologies
We may use cookies, local storage, pixels, and similar technologies to:
- Keep users signed in
- Maintain cart contents
- Remember session information
- Improve performance
- Understand usage
- Measure QR code activity
- Prevent fraud
- Debug errors
- Improve product design
You may be able to control cookies through your browser settings. Disabling cookies or local storage may cause some features to stop working.
7. Analytics
We may use analytics tools to understand how guests, venues, and staff use BarBak.

We do not intend to use alcohol order history for targeted advertising.
8. Data Retention
We retain information for as long as reasonably necessary to provide BarBak, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud, maintain security, and support venues.
Order records, transaction records, audit logs, and operational records may be retained for longer periods where necessary for tax, accounting, dispute, legal, security, or compliance purposes.
We may delete or de-identify information when it is no longer needed.

We use reasonable administrative, technical, and organizational safeguards designed to protect information.
These may include:
- Access controls

- Role-based permissions
- Encryption where appropriate

- Token hashing or secure token handling

- Limited staff access
No system is completely secure. We cannot guarantee that information will always remain secure.
Venue users are responsible for securing their devices, tablets, email accounts, phone numbers, browsers, and access credentials.

Depending on where you live, you may have certain privacy rights.

11. Texas Privacy Notice
BarBak is initially focused on doing business in Texas.
Texas privacy law may provide Texas consumers with rights regarding personal data, including rights to access, correct, delete, obtain a copy, and opt out of certain processing depending on the business and data involved.

12. Sale or Sharing of Personal Information
BarBak does not intend to sell personal information in the traditional sense.
BarBak does not intend to sell guest alcohol order history.
If applicable law defines certain advertising, analytics, or data-sharing activities as a "sale," "sharing," or "targeted advertising," we will provide required notices and choices.
13. Sensitive Information
BarBak does not intend to collect sensitive personal information unless necessary to provide the service or comply with applicable law.
BarBak does not intend to store:
- Full ID scans
- Driver's license images
- Passport images
- Biometric identifiers
- Precise GPS location
- Full payment card numbers
If future features require additional sensitive information, we will update this Privacy Policy before launching those features.
14. Children and Minors
BarBak is not intended for children.
BarBak is designed for adult on-premise venue environments. Users must not use BarBak to purchase or attempt to obtain alcoholic beverages if they are under the legal drinking age.
We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will take appropriate steps to delete it.
15. Venue Responsibilities
Venues using BarBak remain responsible for their own legal and operational obligations, including:
- Alcohol licensing
- Alcohol service decisions
- Guest handoff
- Refusal of service
- Staff training
- Tax treatment
- Menu accuracy
- Pricing
- Refunds
- Chargebacks
- Required notices to guests or employees
- Compliance with venue-specific and jurisdiction-specific laws
BarBak is a technology provider and does not replace venue compliance procedures.
16. Third-Party Links and Services
BarBak may link to or integrate with third-party services, including payment processors, authentication providers, SMS providers, email providers, hosting providers, analytics providers, and venue websites.
Third-party services have their own privacy policies and terms. We are not responsible for their privacy practices.
17. International Users
BarBak is intended for use in the United States, with an initial focus on Texas.
If you access BarBak from outside the United States, you understand that your information may be processed in the United States.
18. Changes to This Privacy Policy
We may update this Privacy Policy from time to time.
If we make material changes, we may provide notice through the website, dashboard, email, or another appropriate method.
The updated Privacy Policy will be effective when posted unless otherwise stated.
